This privacy policy outlines our guidelines and describes the information we collect about our customers and visitors to our websites, how and why we collect and use the information, as well as how we uphold our customers' rights and the rules of privacy legislation.

Data Controller

TYO Automation is the data controller for the company's processing of personal data. By 'data controller,' the law refers to the party that determines the purposes for processing personal data and the tools to be used. It is the data controller who is responsible for ensuring that the processing of personal data complies with the law. What types of personal information are processed

As a customer with us, we store your contact information (including name, date of birth, gender, residential address, phone number, and email address). To manage accounting and payroll, we store necessary information to distribute salaries, ensure accurate benefits and deductions, pension contributions and benefits, and proper tax reporting.

We also keep emails and other written communication we receive from you, including feedback you provide regarding your customer relationship, our service offerings, our customer service, or similar matters.

If we receive information from you when you consent to (i) participate in any of our surveys or competitions, (ii) receive newsletters and updates, or (iii) engage in similar activities, we store this information.

When you use the services we offer (e.g., business systems within CRM, ERP, and HR), information about use, navigation, internet connection, technical equipment, and devices used are automatically registered by our measuring tools and technical logs.

How long the information is stored

We only store personal information for as long as necessary for the purposes described in the section above or to fulfill specific legal requirements. This means that the storage time for different types of information can vary. The Accounting Act requires that invoice information must be stored for at least 5 years. We need to store contact information as long as you are a customer with us (and for a certain period after this, among other things, to provide you with the best possible service if you choose to come back to us), while for other types of information (e.g., emails and chat log from dialogue with customer service), we may have a shorter storage need.

Who we share the information with

Our parent company Tyo Automation AS is our collaboration partner and associated with parts of our business and our services. Therefore, relevant information is shared with Tyo Automation AS for the same purposes as described above.

Also, certain other third parties perform services on our behalf and help us operate our business and deliver services. Such third parties are given access to relevant information for the same purposes as described above.

We enter into written agreements with third parties with whom we share information and set clear requirements to comply with applicable data protection legislation, including information security requirements.

To the extent that it is required by law or judicial decision or necessary for the investigation of possible crimes against our business, relevant information may be disclosed to public authorities or any other entitled parties.

How we protect the information

We work in a planned and systematic manner to maintain information security and use both technical and organizational security measures to protect the stored personal information against unauthorized access and use. To the extent we share personal data with third parties, we impose corresponding information security requirements on them.

In the event of a possible reorganization, restructuring, merger, sale or other transfer of assets, we transfer information, including personal data, provided that the recipient agrees to respect your personal data in a manner consistent with our privacy statement.
